Application Overview

The function of the OCF Application is to provide a centralized point of reference for tracking and coordination OCF membership and event participation. The major functionality for the application includes data management for:
  • Centralized Identity of OCF participants
  • Affiliation of OCF participants to logical groupings (i.e. crews)
  • Coordination of group logistics/activities to support event operations
  • OCF Membership and related Elections processes
  • Fair Family News Subscriptions
  • Inventory Types and Inventory Budgeting for Groups
  • Inventory Assignment and related Financial Transactions
  • Role Based Access Control
  • Reporting on all of the above.

Terminology

Term DefinitionSorted ascending
GoldenRod A variance from the budgeted inventory amounts set by the budget committee. GoldenRod variances are used to accommodate budget requirements identified after the base level budgets for Root Groups are established. GoldenRod variances must be approved by a BUM or other budgeting authority and they expire after each event. They do not apply to sub-groups.
Subscription An indication that a person should receive an OCF publication or be on an OCF email list
Inventory Any material procured by OCF and distributed to people for the purpose of facilitating OCF operations. Some inventory costs money and its distribution must be preceded by a recorded financial transaction.
Group Domain Groups can associated into Domains that provide a means for applying specialized functions or business logic unique to all groups in the Domain. Examples of domains could be Entertainment, Security , Craft Booths, Staff Crew, etc)
Person Identity of an individual that has some relationship to OCF
Paid For Indication that the OCF inventory crew has recorded the receipt of money for a specific type and quantity of inventory assigned to a specific person in a specific group.
Sub-Group Logical collection of people based on a specific sub-function of a Root Group. Sub Groups are hierarchical in nature and can contain other subgroups. Subgroups can be assigned inventory budgets but their budgets are restricted to the available inventory budgets of their immediate parent group.
Root Group Logical collection of people based on some specific OCF function. Root Groups can be assigned inventory budgets which are used used to govern the assignment of OCF inventory to persons in the group.
Group Leader Person identified by an OCF Coordinator that is delegated for responsibility for management of a Sub-Group.
Coordinator Person identified by OCF management as being responsible for the management of an Root Group
Member Person that has indicated to OCF that they wish to be part of the membership database. OCF membership is required in order to vote in OCF Elections.
User Person with a login credentials that allow them to authenticate to the application.
User Roles System Users are assigned roles that determine the kind of operations that can perform.
Inventory Assignment The association of a specific type and quantity of inventory to a specific person in a specific group.
Inventory Budget The specific amount of a particular type of inventory that is made available to a Root Group. The amounts are determined by the OCF Budget Committee annually. Some inventory type budgets are derived as a function of another inventory type using a formula defined in the OCF Guidelines.
